Job Description

Large Medical Specialty Practice is looking for an experienced medical assistant/appointment scheduler.

POSITION SUMMARY

The position is a mix of the Medical Assistant and Medical Appointment Scheduler position.

Responsible for assisting providers with patient care, clerical, environmental and organizational tasks. Responsible for appointment scheduling and chart management. Provides information to patients so they may fully utilize and benefit from the clinic services. Conveys a positive image of clinic. Works under direction of more senior clinical staff to learn and develop skills. Escalates issues to Clinical trainer or Clinical Coordinator.

Responsible for making and scheduling patients' appointments in an efficient and timely manner.

ESSENTIAL FUNCTIONS

MEDICAL ASSISTANT:

1. Fulfills patient care responsibilities as assigned, which may include:

Checking schedules and organizing patient flow; accompanying patients to exam/procedure room; assisting patients as needed with walking, transfers, dressing, collecting specimens, preparing for exam, etc.; collecting patient history; performing screenings per provider guidelines; assisting providers/nurses with various procedures; charting; relaying instructions to patients/families; answering calls and providing pertinent information.

2. Fulfills clerical responsibilities as assigned, which may include:

Sending/receiving patient medical records; obtaining lab/x-ray reports, hospital notes, referral information, etc.; completing forms/requisitions as needed; scheduling appointments; verifying insurance coverage and patient demographics; managing the charts to ensure information is completed and filed appropriately. Calling in or faxing prescriptions outside of EHR to pharmacies.

3. Fulfills environmental responsibilities as assigned, which may include:

Setting up instruments and equipment according to department protocol; cleaning exam/procedure rooms, instruments and equipment between patient visits to maintain infection control; cleaning sterilizer according to scheduled maintenance program and keeping appropriate records; ordering, sorting, storing supplies; restocking exam/procedure rooms;

4. Fulfills organizational responsibilities as assigned, which may include:

Respecting/promoting patient rights; responding appropriately to emergency codes; sharing problems relating to patients and/or staff with immediate supervisors quickly. Serves and protects the physician or health care provider practice by adhering to professional standards, policies and procedures, federal, state, and local requirements and HIPAA.

5. Any other responsibility as assigned

MEDICAL APPOINTMENT SCHEDULER

Books, coordinates and reschedules patient's appointments and handles customer service inquiries

Ensures there is enough time between appointments to allow physicians to complete certain medical examinations and procedures

Relays necessary messages to staff

Verifies referral and/or authorization for the scheduled appointment

Gathers existing pending authorization request

Answers telephone, screens calls, take messages, and provide information

Answers questions regarding patient appointments and testing

Acts in a courteous manner and maintains composure when dealing with angry or irritated patients

Maintains database, fax and scan patient history and update patient account information

Run Point of Service insurance verification for upcoming appointments

KNOWLEDGE, SKILLS AND EXPERIENCE

Minimum Education (or substitute experience) required:

High School degree or GED

Successful completion of Medical Assistant course work or 2 years medical office experience

Current BCLS (Basic Critical Life Support) certification

Travel:

Ability to travel to and work at various office locations based on staffing needs and schedule

A valid CA Driver's license is required

Skills required:

Skill in performing tasks required and appropriate use of instruments and equipment

Skill in interpersonal interactions and communication and therapeutic behavior

Appropriate grammar and scribing skills

Understanding of patient education needs and ability to provide education

Knowledge:

Knowledge of healthcare field and medical specialty

Knowledge of specific assisting tasks related to particular medical specialty

Knowledge of information that must be conveyed to patients and families

Knowledge of current aseptic and sterile techniques

Abilities:

Ability to learn and retain information regarding patient care procedures

Ability to project a pleasant and professional image

Ability to assess, plan, prioritize and complete delegated tasks

Ability to demonstrate compassion and caring in dealing with others

Ability to coordinate patient care with team members and other appropriate departments
