Front Office Coordinator

Large Medical Specialty Group is looking for an experienced Full Time Front Office Coordinator to be responsible for the administration of Reception functions and personnel. This role oversees patient-eligibility, benefits coordination, surgery authorizations, and facilitation of insurance coverage.

ESSENTIAL FUNCTIONS

  1. Oversees Authorizations department and receptionists at front desk locations. Works closely with other department supervisors to ensure specific needs are met. 
  2. Collaborates with other department Supervisors in selecting, monitoring and evaluating receptionists and Authorization department staff. Oversees orientation/training including cross-training to ensure staff availability/coverage requirements caused by vacations, sickness and peak loads.
  3. Ensures positive patient service atmosphere and interactions in reception and Authorizations area through ongoing training/development/monitoring are appropriate. Investigates/resolves patient complaints.
  4. Compiles departmental data on patient caseload and physician intervals to ensure appropriate reception and Authorizations staffing levels
  5. Monitors/ analyzes daily workload and productivity levels and reports to CFO/Administrator. Develops/implements policies and procedures related to the Front Desk and Authorizations department functions.
  6. Monitors/ analyzes verification of insurance benefits, eligibility, and surgery authorization. Obtain, review and input insurance authorization and referrals prior to patient services.  
  7. Assists insurance Utilization Managers with appeals processing and complex requests for treatment authorization request and provider referrals.
  8. Performs reception and Authorization tasks as needed.
  9. Performs other dutoes as assigned.

Minimum Education (or substitute experience) required:

  •  High School Diploma

KNOWLEDGE, SKILLS AND EXPERIENCE

Minimum Experience required:

  • Minimum of three years progressively responsible patient service positions; minimum of two years receptionist experience in clinic.
  • Minimum of two years' experience with authorizations and referrals.  

KNOWLEDGE:

  1.  Knowledge of receptionist and authorization tasks
  2. Knowledge of customer service concepts and clinic
  3. Knowledge of insurance benefits and eligibility
  4. Knowledge of business methods including productivity workload analysis, scheduling, referrals and authorizations

SKILLS

  1. Demonstrated leadership skills necessary to provide oversight of the Front Desk and Authorizations department to ensure the delivery of maximum quality care to all patients.
  2. Skill in customer service by instructing receptionists and Authorizations role modeling ways to create/maintain pleasant atmosphere and interactions.
  3. Skill in collection/analysis/presentation of staffing, productivity and cost data on a routine and special-project basis.

ABILITIES:

  1. Ability to proficiently use arithmetic calculations in data collection and interpretation.
  2. Ability to use interpersonal skills to establish/maintain cooperative relationships with patients, families, physicians, managers and other staff.
  3. Ability to analyze workload requirements and schedule appropriately.
  4. Ability to use Microsoft Word and Excel and 10-key by-touch is preferred.
  5. Ability to travel to multiple locations within the Greater Sacramento Area
