Clinical Coordinator, Allergy Department

POSITION SUMMARY

The Clinical coordinator, Allergy Department is responsible for organizing and overseeing the administrative aspects of health services and clinical department. He/she is responsible to make sure staff is appropriately trained and daily clinical tasks are completed. He/she collaborates with the Allergy Manager to establish and communicate goals with all staff, as well as monitor and measure outcomes. He/she works closely with the Allergy Manager and Providers to insure that supplies, documentation, follow up activities related to patient care, and support staffing are optimized for efficient, compliant provision of high quality patient care.

ESSENTIAL FUNCTIONS

  • Responsible for overseeing/monitoring staff training and completion of daily clinical tasks.
  • Collaborate with Administrative team in clinical program goal setting, progress evaluations, and ongoing problem solving. Participate in Clinical Conference calls, staff meetings and training, and assist in coordination or provision of continuing education for clinical or support staff. Assist Allergy Manager in recruitment, orientation and training of new hires.
  • Order medical, pharmaceutical and office supplies in accordance with SacENT purchasing policies, with ongoing monitoring of costs, availability of new or improved supply options, and awareness of current inventory levels. Communicate with Allergy Manager for budgeting purposes about price and supply fluctuations.
  • Maintain patient care schedule in APME and keep Allergy Manager and Providers apprised of schedule fluctuations related to patient demand or staffing levels.
  • Serve as a resource to all staff about supply location, availability, storage requirements, and any additional pertinent information.
  • Fulfills organizational responsibilities as assigned, which may include: respecting/promoting patient rights; responding appropriately to emergency codes; sharing problems relating to patients and/or staff with immediate supervisors promptly.       Serves and protects the physician or health care provider practice by adhering to professional standards, policies and procedures, federal, state, and local requirements and HIPAA.
  • Provides guidance and leadership to others.

 

Other Responsibilities:

  • Keeping track of  monthly crash cart  logs from all offices
  • Liason between front and back office to ensure flow of clinic
  • Assist with developing written procedures for testing, immunotherapy, specialty testing
  • Weekly staff schedules
  • Knowledge of specific assisting tasks related to particular medical specialty and retaining information that must be conveyed to patients and families.
  • Staying current on aseptic and sterile techniques drug calculations, administering medication and electronic sending of prescriptions.
  • Ability to demonstrate compassion and caring in dealing with others. Coordinate patient care with team members and other appropriate departments.
  • Additional responsibilities as required.

 

KNOWLEDGE, SKILLS AND EXPERIENCE

Minimum Education (or substitute experience) required:

  • High School degree or GED
  • Successful completion of Medical Assistant course work or 5 years medical office experience
  • Current BCLS
  • Current CCMA

Travel:

  • Ability to travel to and work at various office locations based on staffing needs and schedule.
  • A valid CA Driver's license is requiredSchedule

  • Ability to work per variable demands of clinic with flexibility to meet daily changes in clinic.

 

Skills required:

  • Must be able to carry out the Clinical Assistant role at SacENT, in order to supplement clinic staffing, when necessary, and assist in training this sector of the clinic workforce.  
  • Must have highly developed verbal and written communication skills and the ability to work effectively with administrative, clinical and support staff to accomplish the goals of the program.
  • Maintains awareness of the OR schedule to assure an effective and functional environment and able to schedule surgeries and coordinate with the patient, provider and facilities (ENT).
  • Skill in directing/mentoring others in clinical needs and work flow.
  • Ability to complete tasks and projects with high levels of accuracy and autonomy.
  • Highly proficient with Microsoft Word and Excel
